Record a purchase by scanning the supplier's bill
Add stock in AgroPay from a photo or PDF of the supplier's bill: scan, review matched items, add batch and expiry, and save. Works offline.
- 1Open New Purchase
From the menu open New Purchase.
- 2Scan the bill
Press Scan bill and choose a clear photo of the bill or its PDF.
- 3Review scanned items
Check each matched product, quantity and rate. Fix or pick the right product where AgroPay is unsure.
- 4Add batch and expiry
Enter the batch number and expiry month for pesticides and seed.
- 5Save
Check bill number, date and payment, then save. Stock and batches are added.
- Open New Purchase and press Scan bill.
- Choose a photo of the supplier’s bill or its PDF (up to 25 MB). A digital PDF from the supplier’s software works best. For a paper bill, take the photo flat, in good light, with the whole bill in frame.
- AgroPay reads the supplier’s name and GSTIN, the invoice number and date, and the item lines. It matches the supplier and your products, keeping pack sizes apart.
- The Review scanned items panel shows what was found. Confirm each line, or pick the right product where the match is wrong. Nothing is added until you confirm.
- Enter batch and expiry month for products that have them. Scanning skips batch lines on the bill, so type these from the packs.
- Check the bill number, date, discount and how much was paid now, then save.
Checks AgroPay makes
- A supplier bill number already entered makes AgroPay stop and ask before saving a duplicate.
- A cost above the product’s MRP is flagged.
- Paying more than the bill keeps the extra as an advance with that supplier.
Limits
Photo reading works for English-printed bills. A PDF that is only a scanned image is refused; take a photo of the paper instead. Everything runs on your computer without internet.
