Stock and expiry
Know which bottle expires next, before it does
Every purchase goes in as a batch with its expiry month and cost. At the counter AgroPay sells the batch that expires first, and the dashboard tells you what is about to expire and what is running low.
First expiry, first out, without thinking about it
You never pick a batch at the counter. AgroPay takes stock from the batch with the nearest expiry, leaves expired batches alone, and uses batches without an expiry date last. The product tile shows a warning when its nearest expiry is within 60 days, so you can push that stock while it can still be sold.
A return puts stock back into the exact batches it was sold from, and each batch is valued at what it actually cost you after discounts.
Scan the supplier bill instead of typing it
On the purchase screen, press Scan bill and choose a photo of the supplier's bill or its PDF. AgroPay reads the supplier name and GSTIN, invoice number, date and item lines, matches the supplier and your products, and shows everything for review. Nothing is added until you confirm.
- Works offline, on your computer
- Digital PDFs are read directly; photos are read with text recognition
- Pack sizes are kept apart, so 100 ml and 250 ml of the same product are not mixed up
- A duplicate supplier bill number makes AgroPay stop and ask
- A cost above MRP is flagged before you save
Photo reading works for English-printed bills. A scanned PDF that is only an image is refused; take a clear photo instead.
Reports that point at money sitting on the shelf
The Stock Report shows opening, purchased, sold, returned, written-off and current quantity for every product, with expired stock value and low or out-of-stock status. Item Movement ranks fast sellers and lists dead stock: expired, or unsold for more than 90 days.
When stock does expire or gets damaged, Stock Write-off records it with a reason (expired, damaged, lost or other), lists expired batches first, and can be reversed if you made a mistake.
Starting from zero is quick
A new shop does not type its catalogue. AgroPay ships with 695 common products carrying HSN codes and GST rates. Tick what you sell, then enter the quantity on the shelf in the Opening Stock screen: type the item, the count, press Enter. A product list saved from Excel as CSV can also be imported, with every row checked and shown to you before anything is saved.

Questions about this
Do I have to type in all my products?
No. AgroPay ships with 695 common products (186 seeds, 165 fertilizers, 219 pesticides and 125 other items) with HSN codes and GST rates filled in. You tick the ones your shop sells.
You can also import a product sheet saved from Excel as CSV, with every row checked before anything is saved, or scan a supplier's bill from a photo or PDF when stock arrives.
Can I sell loose quantities?
Yes. Quantity accepts decimals, so you can bill 2.5 kg from an open bag or 0.5 litre of a liquid, and the GST follows the quantity.
