In short: Once the shop’s WhatsApp is linked to AgroPay, the owner sends a number to their own “Message yourself” chat and AgroPay on the shop computer replies in the same chat: 1 for today’s sale, 2 for money to collect, 3 for low stock, up to 9 for the full stock list, and 0 for the menu. A customer’s name or mobile brings up their khata, a product name its stock, and adding “pdf” sends the report as a PDF. Answers come in 11 languages, the day’s closing arrives every evening at 8:30 pm, and up to 10 partner numbers can ask after sending a 4-digit code. It only reads the books: nothing sent from a phone can change a bill. The shop computer has to be on, with AgroPay open and online.

At closing time
At 8:30 pm the day’s closing is already in your chat
Every evening AgroPay sends the day’s sale to your own chat: the total, cash, UPI and credit, what was collected on khata, profit after expenses and what sold most.
- Change the time in settings, or switch it off
- Computer switched off before closing? The summary comes the next morning, once, as yesterday’s closing
- A partner gets it too, if they asked the shop something in the last week
Partners
Your partner at the godown can ask too
Add up to 10 numbers: a partner, the son or daughter who runs the evening shift, the manager. Each one asks from their own WhatsApp, the same way you do.
- AgroPay shows a 4-digit code for each number you add
- Until that number sends the code, it gets one short message asking for it and nothing from your books, so a mistyped number never sees your dues
- Remove a number and it stops getting answers

Safe by design
It answers. It never writes first.
The shop on your phone is built to be boring about safety: it only ever replies, and only to the people you chose.
Only you, and who you allow
A message counts as a question only in your own chat or from an allowed number. Anyone else who writes to the shop gets nothing from AgroPay.
It reads, never changes
Every answer is read from the books. Nothing sent from a phone can make, change or cancel a bill.
Your farmers hear nothing
Apart from the evening summary and one welcome to a number you added, it sends nothing to anyone who did not write first.
Limits against runaways
Twelve questions in one minute pause the answers for two minutes, and 300 answers is the ceiling for a day.

Connect WhatsApp in AgroPay
Open WhatsApp Marketing from the menu, or the last step of the Setup Guide, and press Connect my WhatsApp. “Also check my shop from this phone” is already switched on.

The same way you link WhatsApp Web: in WhatsApp on your phone, open Linked devices and scan the code on the screen.

Inside the shop
On the shop Wi-Fi, the whole AgroPay opens on a phone or a second computer
Switch on “Other computers in the shop” in Shop Settings. A phone, a laptop or a second counter on the same Wi-Fi then opens AgroPay in its browser, working on the same books.
- Type agropay.local in the browser, or scan the QR code on the settings screen
- Bill from a second counter, check stock from the godown, read reports on a phone: the screens fit the phone
- AgroPay sets up Windows Firewall for you, after one confirmation
- The main computer stays on, and the books stay on it
Questions about the shop on your phone
Is this a mobile app?
No. It is WhatsApp, which is already on your phone, so there is nothing to install and nothing new to learn. AgroPay itself stays on the Windows computer at your counter, where the printer is.
Does the shop computer have to be on?
Yes. The answers are made by AgroPay on the shop computer, so it has to be switched on, with AgroPay open and connected to the internet. If it was off at closing time, the evening summary comes the next morning instead, once.
Can a stranger see my sale by messaging my shop number?
No. AgroPay answers only your own “Message yourself” chat and the numbers you have allowed, and an allowed number must first send the 4-digit code AgroPay shows you. Anyone else who writes gets nothing from AgroPay.
Is it safe for my WhatsApp number?
AgroPay links to your WhatsApp the way WhatsApp Web does, by scanning a code once. It is not WhatsApp’s official business service, so WhatsApp’s own rules apply to your number as they always do.
For these answers AgroPay writes only to your own chat and to numbers you allowed, and only when they ask. The two exceptions are one welcome to a number you add and the evening summary.
Which languages does it answer in?
English, Marathi, Hindi, Kannada, Telugu, Tamil, Gujarati, Punjabi, Bengali, Malayalam or Odia, chosen in settings. The PDFs print in the same language. Numbers work in any script, and words are understood the way a shopkeeper types them: sale, baki, udhar, बिक्री, ಬಾಕಿ.
Can I change a bill from my phone?
No. The phone only reads. Bills, stock and khata change only on a computer where someone has signed in to AgroPay.
Does it cost extra?
No. It is part of the AgroPay licence, and there is no charge per message, because it uses your own WhatsApp rather than a paid messaging service.
